- Create a new account on the submission portal.
- Check your email for an activation link and verify your account.
- Log in at abstracts.slcoshh.org.
- Navigate to your dashboard and click New Abstract.
Title: Enter your abstract’s title and ensure proper capitalization. Note: The final abstract book will be generated directly from this text, so please check carefully for mistakes.
Description Box: Insert the body of your abstract here.
- Clear Pre-filled Text: You must delete any pre-filled text in the description box before pasting your own.
- Pasting Text: When copying from a Word document, paste as raw text (Ctrl + Shift + V). Pasting with formatting may carry over hidden characters, causing the system to calculate the word count incorrectly.
- Structure: Bold your section headings (e.g., Introduction, Objectives, Methods, Results, Conclusion), or whichever topics apply to your submission category.
Submission Rules: Note the deadline for new abstract submissions. Do not submit the same abstract in multiple categories.
- No Author Info: Do not enter author information in the title or description boxes.
- Institutions: Institutional blinding is not required. Authors can use the actual names of all institutions, hospitals, and universities in the abstract.
- Disqualification Risk: If you include information that may identify your authors before your abstract gets accepted, you may be disqualified.
- Author Names: Enter author names in Surname Initials format (e.g., Perera AB). The abstract book is generated automatically from these fields, so ensure all names are accurate.
- Author Emails: Ensure you provide accurate email addresses for all authors.
- Author Agreement: A copy of the submission will be sent to all authors to ensure everyone is in agreement. If co-authors have objections, they can inform the submitting author to remove or amend the abstract, or write directly to SLCOSHH stating the objection.
- Presenter: Enter only one presenter. The presenter MUST be one of the authors.
- If Applicable: You must mention the ERC body which has given the clearance, and the reference number mentioned in the ERC letter. Please also mention the Date of acceptance, Period of validity etc.
- If Not Applicable: If ERC is not applicable to your abstract, you must clearly state why.
- Initial Review: Your abstract will be sent to an independent reviewer for blind review. They may accept, reject, or suggest changes.
- Notifications: You will receive reviewer comments and updates via email. Emails will be sent from abstracts@slcoshh.org. Please add this address to your priority filter so you do not miss important updates.
- Revisions: Check for author comments (reviewers may sometimes attach a Word document with amendments). The submitting author must make the necessary edits and submit the revision.
- Final Decision: Once the revision is submitted, the reviewer will evaluate it again to determine acceptance or rejection, and whether it will be assigned as an oral or poster presentation.
- Unblinding: Once accepted, you must do one final revision to replace the blinded institutional names with the actual names (if applicable).
- Finalizing: Whatever you submit at this stage will be final. You must make these edits before the final revision deadline.
- Publication: After the deadline, the abstract book will be auto-generated and published.
- Withdrawal: If you wish to withdraw your abstract from the abstract book, you must do so before the final submission deadline.
